Position: Project Document Control Specialist
Location: Headquarters - Moon Township, PA

The Project Document Control Specialist is responsible for the meticulous management, organization, submission, receipt, and integrity of project-related documentation throughout its lifecycle, ensuring accuracy, accessibility, and compliance with organizational and regulatory standards. The Project Document Control Specialist has key responsibilities that include creating and maintaining project documentation plans, controlling the flow of incoming and outgoing project documents, verifying and updating technical documents, and ensuring the security and confidentiality of sensitive information. The Project Document Control Specialist position requires close coordination and communication with Calgon and customer Project Managers. Some procurement support is also involved.

Duties and Responsibilities (not limited to)

  • Transmit project-related documents to customers per contract requirements
  • Work closely with Project Managers and internal teams to facilitating effective communication to internal stakeholders and clients
  • Overseeing the entire project document lifecycle from creation, review, and approval to revision and archival
  • This includes creating and maintaining project documents and documentation plans, as well as numbering, sorting, filing, storing, and retrieving both electronic and hard copy documents
  • Ensure that all documentation is accurate, up-to-date, and compliant with relevant customer requirements, regulatory standards, legal requirements, and internal policies
  • This may involve checking for accuracy, reviewing and updating technical documents, and implementing document control systems
  • Organize and maintain physical and digital records, creating templates for future use, and efficiently retrieving files as requested by team members and customers
  • Create purchase requisitions for miscellaneous project materials not sourced by the Manufacturing groups as assigned by the Project Managers

Qualifications

  • Associates degree (A.A.), or equivalent from two-year college or technical school is required
  • Bachelor's degree (B.A. or B.S.), or equivalent from four-year college or university is preferred
  • 2-3 years Product document control experience is required
  • Controlling technical project documents in a project management environment is preferred
