Job Description
Intermediate Administrative Coordinator (1st Shift)
Pay: $ 24.50 per hour
Hours: 1st Shift; Mon - Fri: 7:30 am - 4:00 pm with potential weekends, holidays, and overtime as needed.
The ideal applicant possesses excellent customer service skills, maturity, integrity, and strong attention to detail. Successful candidates make attendance a priority and are reliable and punctual. Excellent communication skills are a must, along with a compassionate and professional demeanor. The ideal applicant is self-motivated, able to navigate cross-functional teams, and willing to take the lead on assigned responsibilities and recognized plant needs.
Standard job responsibilities include:
- Must be able to communicate with a diverse group of people from a variety of departments
- Must collaborate and communicate with team members, using discretion at all times
- Trend sheet data entry and trend adjustments in coordination with plant management and maintaining accuracy
- Prepare documents necessary for manufacturing to fill bulk & bag orders for customers
- Process truck loading and unloading paperwork and maintain POR files
- Process incoming plant delivery paperwork and filing.
- Work with transportation to ensure plant to plant deliveries are timely.
- Assist in maintaining DMS communication board
- Tracks and investigates weekly product/shipping shortages.
- Maintain daily sales order files.
- Enter truck identification into Four Kites daily
- Support monthly and annual inventory cycle counts by being an active participant in site Material Yield Management Team.
- Order supplies on an as needed basis
- Backup to payroll coordinator to process payroll or any additional EEO functions.
- Site coordinator for phones, computers, network, to troubleshoot working w/Corp IT/Telecom and local vendors.
- Process purchase orders
- Answer phones and direct phone calls
- Supports cross-functional teams, - Customer Service, Quality, Safety, Maintenance, and Operations
- Assist in plant events and employee engagement to include plant meals/celebrations.
Skills and qualifications required:
- 6+ months of data entry and strong MS Office knowledge and skills
- Efficient typing and computer skills
- Critical reasoning skills
- Strong Math skills
- Excellent organization and strong attention to accuracy
- Ability to work effectively with cross-functional groups and people
- Skilled at balancing multiple tasks and responsibilities simultaneously
- Excellent attendance
- Professional communication skills
- Team-oriented
- Self-motivated; takes initiative
- Efficient Follow-up skills
- Accountable and Responsible
Required Education:
High school diploma/GED
Preferred Experience:
At least 1 year ofexperience in administrative or customer servicedesired but not required
Competencies-Skills (Preferred):
- Experience with accounts payables in a manufacturing /warehouse environment preferred Experience with ERP systems, preferably JD Edwards/Oracle or SAP
- Well-developed time management and multi-tasking skills, works independently when needed
- Ability to communicate in a variety of methods and with a variety of personalities
- Ability to deal with ambiguity and ask questions to provide clarity
Ability to deal with a changing/evolving environment
