Event & Guest Services Assistant (TEMP)

Job Summary

The Event & Guest Services Assistant will support the Director of Event & Guest Services in the overall management of the Michigan Athletics Event Team. This role aids in achieving the department's goal of providing Exceptional Experiences for Every Guest and ensures a welcoming, responsive, and professional atmosphere for all visitors, staff, and participants at athletic events.

Responsibilities*

Essential Functions Event Team Support

  • Assist with the coordination and management of temporary volunteer frontline staff during Michigan Athletics events, including football games and other special events.
  • Lead the ongoing hiring and onboarding process for event team members; coordinate interviews, facilitate training, and ensure new hires are fully oriented to policies, guest service expectations, and operational procedures.
  • Oversee the management and tracking of event team inventory, including uniforms, equipment, supplies, and materials; ensure inventory levels are maintained, items are properly distributed and returned, and accurate records are kept to support event operations and team member needs.
  • Assist in the development and preparation of training materials for event team members, ensuring content is clear, engaging, and aligned with all Event Team policies and guest service standards; support the organization and delivery of training sessions as needed.
  • Assist in the planning, organization, and execution of appreciation events and recognition activities for event team members, helping to foster a positive team culture.
  • Help maintain consistent event team member communication.
  • Aid with onsite logistics, including distributing materials, monitoring guest flow, and supporting service recovery efforts.

Essential Functions Operations/Administrative

  • Provide administrative support: assist with reports, event feedback collection, and updating records.
  • Support the Director of Event & Guest Services and event management staff with preparation and setup tasks before and after events.
  • Help respond to guest inquiries, complaints, and requests both onsite and through digital channels.

Other Duties

  • Participate in team meetings and training sessions as assigned.
  • Assist the Operations & Event Management Office with assorted event-related tasks & projects.
  • Perform additional duties and projects as requested by the Director of Event & Guest Services.
  • Assure compliance with the NCAA and Big Ten rules as well as OSEH safety programs.

Required Qualifications*

  • Bachelor's degree.
  • Previous experience in customer service, event support, hospitality, or related field..
  • Strong interpersonal and communication skills; ability to interact professionally with guests, staff, and team members.
  • Demonstrated reliability, punctuality, and ability to work effectively within a team environment.
  • Ability to remain calm, courteous, and solution-focused when handling guest concerns or high-pressure situations.
  • Detail-oriented, with strong organizational and multi-tasking skills.
  • Ability to follow instructions, departmental policies, and operational procedures.
  • Flexible availability, including evenings and weekends, as required by event schedules.

Desired Qualifications*

  • Experience assisting with large-scale events, athletic events, or university functions.
  • Basic proficiency with Microsoft Office applications (Word, Excel, etc).
  • Basic proficiency with Google Workspace applications (Docs, Sheets, Forms, Slides, etc).

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
