Position Overview
The Project Coordinator plays a critical role in driving the successful planning, coordination, execution, and closeout of technology infrastructure projects across CBX Connect's managed Wi-Fi and residential connectivity portfolio. This role owns the day-to-day project coordination engine, translating project scope into actionable plans, proactively managing schedules, milestones, documentation, vendor coordination, budget inputs, risks, dependencies, and stakeholder communications. The Project Coordinator exercises sound judgment to identify issues early, evaluate competing priorities, recommend solutions, and keep cross-functional teams aligned to project goals, client expectations, operational standards, and business outcomes. While this role does not directly manage employees, it requires strong influence, accountability, and leadership across internal teams, clients, vendors, contractors, and property stakeholders.
What You Will Do
- Coordinate assigned project workstreams from initiation through closeout, ensuring project activities are organized, sequenced, documented, and executed in alignment with scope, schedule, budget expectations, client commitments, and internal operating standards.
- Translate project requirements, installation milestones, vendor commitments, construction timelines, and stakeholder inputs into clear project plans, task trackers, schedules, status updates, and deliverable timelines.
- Proactively monitor project progress, identify schedule conflicts, resource constraints, installation risks, procurement delays, scope gaps, and dependencies, and recommend practical solutions or escalation paths before they impact project outcomes.
- Serve as a central point of coordination for project managers, internal technical teams, property teams, clients, vendors, contractors, and leadership, ensuring stakeholders have timely, accurate, and actionable information.
- Facilitate project meetings by developing agendas, preparing materials, documenting decisions, capturing action items, assigning owners, tracking follow-through, and ensuring unresolved items are surfaced and addressed.
- Maintain comprehensive project documentation, including schedules, scope notes, meeting records, risk and issue logs, change documentation, proposals, client correspondence, vendor communications, closeout packages, and reporting materials.
- Support budget and financial tracking by monitoring purchase orders, invoices, vendor estimates, material needs, project expenses, and cost variances, and by flagging items requiring review, approval, or adjustment.
- Coordinate vendor, contractor, and internal team readiness to ensure equipment, materials, access requirements, installation support, technical inputs, and project resources are available when needed.
- Use knowledge of managed Wi-Fi, residential technology infrastructure, networking concepts, construction coordination, and project delivery workflows to anticipate operational needs and support informed project decisions.
- Evaluate project information from multiple sources, determine when additional context or leadership input is needed, and exercise discretion in prioritizing competing deadlines, stakeholder requests, and project risks.
- Prepare project status updates, dashboards, reports, and summaries for project managers, clients, vendors, and leadership, clearly communicating progress, risks, decisions needed, and next steps.
- Support change management by documenting scope adjustments, timeline impacts, resource implications, stakeholder decisions, and approval needs in accordance with company standards and client requirements.
- Contribute to process improvement by identifying recurring project gaps, documentation needs, workflow inefficiencies, and opportunities to improve delivery consistency, communication, and stakeholder experience.
- Support project closeout by coordinating final documentation, completion reports, lessons learned, outstanding item resolution, client handoff materials, and internal records retention.
- Travel occasionally to support project meetings, site coordination, installation readiness, vendor alignment, or project closeout needs.
- Perform other duties and special projects as assigned by management.
- Must be able to complete all physical requirements of this role with or without a reasonable accommodation.
Ideally, You'll Have
- Bachelor's degree in Construction Management, Computer Science, Information Technology, Business, Project Management, or a related field; equivalent combination of education, training, and relevant experience may be considered.
- 1+ year of project coordination, project management, construction coordination, technology implementation, managed services, or related operational experience supporting cross-functional projects.
- Demonstrated ability to organize complex workstreams, manage competing priorities, track deadlines, follow up on action items, and keep multiple stakeholders aligned in a fast-paced environment.
- Strong written and verbal communication skills with the ability to prepare clear status updates, meeting notes, reports, and project documentation for technical and non-technical audiences.
- Ability to exercise discretion and sound judgment when evaluating project risks, prioritizing competing needs, escalating issues, and recommending solutions that support project and business outcomes.
- Experience maintaining project schedules, trackers, documentation, budgets, invoices, purchase orders, change logs, issue logs, or similar project controls.
- Proficiency with Microsoft Office, including Excel, Outlook, Word, and PowerPoint; ability to learn and use project management, documentation, and collaboration tools.
- Collaborative, proactive, and solutions-oriented approach with a high degree of accountability, follow-through, attention to detail, and professionalism.
You'll crush it if you have
- 1-2+ years of project coordination or project management experience in residential internet, managed Wi-Fi, low-voltage infrastructure, construction technology, managed services, or a related technical services environment.
- Working knowledge of networking environments, access points, switches, cabling, Wi-Fi design, installation workflows, or technology infrastructure deployment.
- Cisco, Ruckus, networking, project management, or construction-related certifications or training.
- Experience coordinating vendors, contractors, internal technical teams, property teams, and client stakeholders across active project timelines.
- Strong analytical and problem-solving skills with the ability to assess risks, evaluate options, recommend solutions, and drive resolution across ambiguous or time-sensitive project situations.
