ABOUT THE DEPARTMENT:
The Department of Human Service Programs (DHSP) creates and coordinates services that enhance the quality of life for Cambridge residents. Driven by the needs of residents, DHSP’s extensive services and programs touch almost every sector in the city: from newborns to senior citizens, from school-aged children to homeless families, from non-profit organizations to local employers.
ABOUT THE ROLE:
Reporting to the Multi-Service Center Director, the Senior Clerk & Typist, will serve a key function within the Multi-Service Center (MSC), supporting staff and providing a welcoming, respectful and professional experience for individuals and families experiencing housing instability or homelessness. Many of the individuals accessing MSC services are experiencing a crisis in their housing and the Sr Clerk/Receptionist may be the first point of contact and must consistently offer a calm and supportive response.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answer telephone calls courteously and transfer calls to appropriate staff.
- Greet all visitors courteously and assist with their requests; notify relevant staff when clients arrive for appointments.
- Keep the reception areas of the Multi Service Center neat and attractive.
- Maintain staff sign-in/sign-out logs and manage sign-in procedures for visitors.
- Collect outgoing mail daily and arrange for delivery to city hall mailroom as well as pickup of incoming mail as needed.
- Fill copier and fax machines, maintain copy paper supply.
- Keep inventory and order office supplies for the Center
- Enter and search for data in the Homeless Management Information System.
- Assist the Multi-Service Center Director with special projects.
- Other duties as assigned by the Multi Service Center Director.
- Actively participate in the Department’s Race and Equity Initiative.
- Other duties as assigned.

MINIMUM REQUIREMENTS:
- Minimum of three to five years’ experience working with the public in a social service, customer service, reception or related position.
- Excellent communications skills.
- Ability to exercise mature judgment in complex situations.
- Strong organizational and administrative skills.
- Proficiency in personal computer skills such as Microsoft Office Suite and Excel.
- Experience working with diverse individuals.
- Knowledge of Cambridge and surrounding communities helpful.
- High school diploma or equivalent
PHYSICAL REQUIREMENTS, WORKING CONDITIONS, WORK FLEXIBILITY AND ACCOMODATIONS:
- Ability to access, input and retrieve information from a computer
- Ability to answer phones and maintain multiple files
- Ability to lift a minimum of at least 10 lbs.
- Be comfortable to work primarily in a standard office environment with moderate noise level, telephones, personal computers, printers, and other office equipment.
