ABOUT THE DEPARTMENT

The Department of European Sculpture and Decorative Arts (ESDA) is responsible for more than sixty thousand works forming The Met's expansive and historically significant collection of European sculpture and decorative arts. These objects, made for and by Europeans, reflect the artistic innovations, stylistic developments, global commerce, cultural exchanges, and collecting practices in Europe from the late fifteenth through the early twentieth centuries.

GENERAL STATEMENT OF RESPONSIBILITES & DUTIES:

As the Coordinator of Friends Group, you will play an integral role in executing and coordinating the daily tasks necessary for the smooth operations of the Department. You are responsible for the programming, coordination, and growth of the Department's Friends Groups: the Friends of ESDA and Wrightsman Fellows. You will also support the needs of ESDA's Visiting Committee and provide administrative support for the Department. This role requires you to be in the office, Monday through Friday, 9 am to 5 pm.

PRIMARY RESPONSIBILITIES & DUTIES:

  • Draft correspondence related to all events, recruitment, and inquiries as point-person for members of the Friends of ESDA, Wrightsman Fellows, and ESDA's Visiting Committee.

  • Coordinate the Annual Wrightsman Fellows Evening and Wrightsman Fellows Collection Visit, and approximately 5-10 programs for the Friends of ESDA per year. This includes catering, décor, guardianship, managing guest list and invitations via MailChimp, coordinating presenters and acknowledgements.

  • Plan annual events calendar, including dates, times, locations, topics and speakers

  • Track and manage all active and lapsed memberships and facilitate annual renewals for members

  • Plan and coordinate content for all membership communications including annual newsletter, calendars, brochures, event invitations, memos, and e-blasts; compile and edit copy; coordinate with Design Department and Print Services Department via the Museum's Workday platforms as needed

  • Coordinate annual Visiting Committee Meetings, which requires management of logistics, including drafting and facilitating all invitations and tracking guest lists; coordinating handouts and curatorial presentations; coordinating display and installation of artworks and labels on view; securing the location or other artwork viewing location; coordinating the technology set-up required

  • Coordinate special events and luncheons for major donors to the Department

  • Draft and facilitate donor correspondence with Development Office, Director's Office, Department Curator-in-Charge, and Senior Administrator

  • Assist and coordinate special exhibition openings, special programs, luncheons, workshops, and conferences with relevant departments

  • Assist with and maintain department donor files and archives

  • Oversee Department's General Department Administration/Front Office communications, including maintaining Department's email subscriber list and generate Department announcements and newsletters

  • Assist with departmental Instagram account and website

  • Facilitate private group tours with Curators

  • Assist with all public queries regarding the collection and exhibitions

  • Assist with day-to-day office maintenance and administrative tasks, as needed

  • Other related duties as assigned


EDUCATION AND EXPERIENCE

  • Bachelor's degree or equivalent experience

  • 2 years of administrative, coordinator and/or special events experience

  • Computer proficiency: Microsoft Suite (Word, Excel, PowerPoint) and Outlook

  • Excellent attention to detail, organization, timeliness, and communication

  • Experience managing and executing multiple projects with competing deadlines

  • Experience in development/fundraising, managing donor/patron groups, and running special events

COMPENSATION RANGE:

  • Pay Range: $32.00 - $33.00 / Hourly
