The Coordinator will manage the day-to-day operations of the department’s exam proctoring program, as well as support the department’s note-taking program. There are about 3100 exams per year - exams can begin as early as 7:30 AM and end at 10:30 PM.

WHAT YOU WILL DO:

Student Workers:

  • Manage the recruitment and selection process for student exam proctors including hiring the exam proctors via Workday and Human Resources processes.
  • Train Exam Proctors (part 1 workshop presentation; part 2 shadow proctor) including how to scribe exam answers for students who are not able to write which may include setting up dictation software; read exam questions to students who require text read aloud which may include setting up narrator software; and educating them on the community standards process (Code of Ethics to prevent cheating).
  • Manage the Exam Proctor list of availability (this list is fluid and may need updating weekly).


Scheduling rooms:

  • Work with the Assistant Director and the front desk staff to secure rooms for accommodation exams using the online scheduling system.
  • Keep rooms clean, tidy, and organized.
  • Manage resources and materials for exam rooms. Update and track inventory for any needed materials.

Scheduling exams:

  • Utilize the online management tool, Accessible Information Management (AIM), to schedule exams, assign proctors, and assign testing locations.
  • Manage Faculty Testing Agreements (FTA) in AIM and spreadsheet at the beginning of every semester.
  • Work with the Assistant Director to manage student accommodations by requesting and sending Faculty Notification Letters (FNL) at the beginning of every semester. Resubmit for all add/drop courses.
  • Work with the Assistant Director to manage exams by adding each student's exams to AIM; as well as manage all exam conflicts.
  • Communicate with the faculty which includes collecting Faculty testing agreements; emailing faculty one week before exams regarding the location and time of the exam; emailing faculty if there are exam conflicts; and re-scheduling the exam in AIM.
  • Communicate with the students which includes emailing student one week before exam regarding location and time; emailing students if there are exam conflicts; and re-scheduling exam in AIM.
  • Coordinate Assistive Technology including secure laptops, standing tables, and dictation and reading applications as needed.
  • Work with the Assistant Director and front desk staff to print and organize exam information from AIM including a proctor sheet for each exam section, an attendance sheet for each student; and tracking time in and time out for each student after each exam.

Other:

  • Gather alternative testing data for the monthly dashboard by the due date every month.
  • Assist the Assistant Director with the notetaking program during busy times of the semester including hiring, training, and assigning notetakers as well as meeting with students to learn how to access notes in AIM.
  • Reply to emails in the department email in a timely manner, participate in weekly team and 1:1 meetings; and effectively communicate with the Director, Assistant Director, front desk administrator and student workers.
  • Assume additional responsibilities and special projects as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Associate’s Degree

Prefer 1-2 years of similar experience.

Must have strong customer service skills.

Must have strong computer skills including proficiency in Microsoft Office (Word, Excel, Access—particularly experience with data manipulation within databases, PowerPoint, etc.).

Ability to learn new software systems: WCONLINE, Accessible Information Management (AIM), and Workday.

Must have exceptional attention to detail and organizational skills.

Ability to take initiative and complete tasks with minimal supervision.

Ability to work both independently and with teams.

Ability to build working relationships across the college.

Demonstrated sensitivity and ability to work with ethnically, culturally, and socially diverse students, staff, and faculty.

Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results.

Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.

HOW AND WHERE YOU WILL WORK

Some early mornings and/or evenings and occasional weekend work.

Flexibility with work schedule given early morning and later evening exam start times.

Requires work onsite 5 days a week; the on-campus requirement is subject to modification based on organizational need.

ADDITIONAL SKILLS YOU MAY HAVE

  • Bachelor’s Degree strongly preferred.
