PURPOSE:
The Workplace Manager is responsible for managing one or more of the following functions: real estate, services, operations, and/or projects. Responsibilities may include lease negotiation/administration, contract administration/management, business operations/administration, conference/event support services, mail service operations, employee amenity/service program administration, and/or construction/technology project management. The incumbent will develop short- and long-term strategic plans in support of CareFirst Workplace Strategy and manage all components of the workplace experience, including contingency planning activities related to planned and unplanned events. In addition, the incumbent is responsible for managing and ensuring effective internal and external relationships and requires a significant amount of people leadership and vendor management.
ESSENTIAL FUNCTIONS:
- Provide leadership, guidance and management to direct reports and vendors. Responsible for implementing management processes to ensure workplace resources are maximized and expenses are minimized. Plan, budget and schedule for one or more of the following items workplace improvement projects including construction, maintenance including all facilities are compliant with Federal, State and Local codes and regulations, technology, and employee amenity programs that ensure the highest levels of employee and guest experience (security, safety, and comfort).
- Responsible for writing specifications for bids and ensuring contractors are performing to scope within contracted timeframes and budget. Responsible for developing and implementing processes that integrate existing tools and information with new approaches and programs to accomplish annual and intermediate-term objectives. Establish/manage key performance indicators/metrics for assessment reporting and planning for one or more of the following functions:
- Real Estate/Project Management - Negotiate best possible lease terms and effectively administer lease lifecycle. Maintain tactical plans and schedules for new renovated, or decommissioned facilities; make recommendations on the cost effectiveness of workplace services, operations, programs, and projects. Manage and execute projects within scope, schedule, and budget. Direct third-party contractors to achieve project deliverables.
- Conference Services - Collaborate with IT to ensure all technological needs are met to ensure all conference rooms are adequately equipped, including network, phones, and AV equipment. Manages activity and oversees the daily execution of the conference centers, conference services activities and conference concierge event design and execution.
- Facility Management - Ensures the physical environments of the organization are well-maintained, safe, and conducive to business operations. This encompasses the management of buildings, grounds, infrastructure, and services, ensuring employee needs are met.
- Administrative Support - Manage the team who provides administrative support to various departments, including handling physical and digital mail, record retention, wellness and fitness center operations and company store.
- Mentors, motivates and empowers team members through leadership performance feedback, and providing development opportunities. Coaches, counsels, and provides resources to employees aimed to increase quality, accountability, and overall customer satisfaction. Provides general direction and determines work priorities to meet department target. Participates in recruitment, training, and development of staff. Completes associate performance plans. Monitors staff performance against established goals. Conducts performance assessment discussions identifying achievements and opportunities. Ensures that all compliance training and related activities are completed as required.
- Manage vendor relationships to maximize financial performance and exceed customer expectations. Seek out cost savings opportunities. Negotiate contracts and manage vendor performance. Oversee the management of all projects and required internal/external resources.
- Coordinate annual budget preparation, analysis, and review for the CareFirst Workplace Real Estate portfolio as well as administering the departmental administrative budgets. Partner with Finance to ensure all budgets are appropriately entered into CareFirst cost center budgets. Monitor and analyze monthly expenditures, prepare variance analysis to compare actual results against planned, and perform quarterly budget forecasts. Review and approve vendor invoices, construction project invoices and direct reports expenses statements for accuracy and payment.
SUPERVISORY RESPONSIBILITY:
This position manages people.
QUALIFICATIONS:
Education Level: Bachelor's Degree in Accounting, Business Administration, Finance, or related OR in lieu of a Bachelor's degree, an additional 4 years of relevant work experience is required in addition to the required work experience.
Experience:
- 5 years real estate management, facility planning or financial planning experience and 1-year supervisory experience or demonstrated progressive leadership experience.
Preferred Qualifications:
- 3 years related supervisor experience.

- Must be able to meet established deadlines and handle multiple customer service demands from internal and external customers, within set expectations for service excellence. Must be able to effectively communicate and provide positive customer service to every internal and external customer, including customers who may be demanding or otherwise challenging.
Salary Range: $104,000 - $193,050Salary Range Disclaimer

This compensation range is specific and considers factors such as (but not limited to) the scope and responsibilites of the position, the candidate's work experience, education/training, internal peer equity, and market and business consideration. It is not typical for an individual to be hired at the top of the range, as compensation decisions depend on each case's facts and circumstances, including but not limited to experience, internal equity, and location.
