Full Job Description

Job Summary:

• Provide and coordinate daily operation of office. Responsible for composing routine correspondence, coordinating meetings, managing work order system, invoice coding and maintaining records, preparing vendor contracts, and assist in various administrative functions; such as, preparing and mailing documents, distributing packages and updating tenant information and lease files. Perform other duties as assigned, some of which may be essential to the job.

Responsibilities:

General Office Duties

• Answer management phones and assist with Tenant needs
• Greet visitors, notify appropriate personnel of arrival, and direct same to designated location.
• Maintain office equipment; such as, copier, telephones, etc.
• Receive and distribute mail on a daily basis, and process overnight packages as needed
• Maintain inventory of office supplies and breakroom supplies
• Maintain, order and track janitorial supplies
• Prepare bi-weekly staff meeting agenda and write meeting minutes
• Maintain and update internal documents; such as, staff directory, tenant contact information, tenant and staff emergency contact lists, tenant handbook, etc.
• Draft correspondence and tenant announcements as necessary

Tenant Services Duties

• Manage the work order system (Workspace)
• Facilitate building access for vendors by working with engineering and management
• Serve as backup to security for access card administration and distribution
• Assist the PA and SPM with tenant relations as necessary, including but not limited to special events, lunches, blood drives, fire drills, etc.
• Responsible for promoting and coordination of the property recycling program as needed
• Maintain and file current Insurance Certificates for each tenant and vendor Order/Maintain all building signage – order door signs/directory strips for all new move-ins and other miscellaneous signage as needed
• Maintain tenant tracking lists
• Assist Security with lost and found recovery process, overnight parking requests, coordinate access badge deliveries, circulate security alerts, and manage pass down log
• Assist the PA and SPM with tenant move ins/outs

Lease Administration

• Establish and maintain all tenant lease files and vendor service contract files
• Prepare and file lease abstracts for all new leases and amendments
• Responsible for producing tenant anniversary gifts to be delivered as necessary

Accounting

• Responsible for accounts payable, organize and code invoices in Workspace daily
• Utilize Job Cost module in Workspace to track Capital invoices.
• Responsible for issuing purchase orders, tracking and assigning the PO’s to invoices as they are processed for payment, and closing them out once invoice has been paid/check has been cut
• Assist with closing out billable work orders once tenant has been billed

Desired Competency, Experience and Skill:

• Minimum of a high school education, Associates, B.A. or B.S. college degree preferred
• Minimum of 1-year previous commercial real estate experience preferred
• Possess a professional demeanor and excellent interpersonal skills (written and verbal)
• Have access to reliable transportation and maintain a valid driver’s license
• Computer literate and be proficient on MS Outlook, Word, Excel and Power Point
• Must be physically capable of walking, ascending and descending stairs, and occasionally lift boxes of reasonable sizes

Additional Comments
Must be able to work independently and organize individual workflow, as well as assist in the workflow of Supervisor upon request. Accuracy required with generation of reports and correspondence, and compliance with company policies and procedures.
