This position is responsible for supervising and coordinating the work of Healthcare Services Coordinators (formally known as Intake Coordinators), and is responsible for carrying out supervisory duties, such as training, assigning work, appraising performance, coaching, and developing employees and staff scheduling. This position will also perform the duties of the employees supervised.
Job Responsibilities:
- Plans and manages the daily functions of the front office.
- A point person for Adult Outpatient Substance Use Department for office administration duties.
- Manages provider schedules to ensure correct appointment type is assigned, schedule is full, and daily targets are met. Verifies and adjusts schedule when providers are not available and finds coverage for assessments and groups as needed.
- Monitors daily work queues for Healthcare Services Coordinator staff to ensure productivity, identify issues and allocates workload.
- Coaches, mentors, and trains Healthcare Services Coordinator staff. Assesses competencies of staff, provides continuous performance management, and conducts employee performance evaluations.
- Addresses performance and/or behavior issues, clarifying expectations and providing feedback with the Clinic Director.
- Greeting and checking in clients and collecting payments.
- Complete intake with each client ensuring all documents are correctly completed and signed.
- Comfortable using the latest technology and troubleshooting.
- Scheduling and checking clients out.
- Communicate with the team daily regarding appointment or group scheduling concerns, UA results, referrals, client concerns, etc.
- Health insurance knowledge.
- Answering incoming phone calls and relaying messages to appropriate staff.

Qualifications
Required Qualifications:
- High School Diploma or GED required.
- Associate’s Degree preferably in business or healthcare preferred.
- Experience of 5 years in healthcare required. Associate’s Degree may substitute 2 years of experience. Bachelor’s Degree may substitute 4 years of experience.
- One year’s supervisory experience managing employees and administering policies preferred.
- Valid Driver’s License and proof of automobile liability insurance coverage.
