Full Job Description
The Supervisor, Building Services coordinates, manages, and/or directs the activities of Building Services staff including custodians, utility workers, pool maintenance person and service contractors including pest control, in the performance of duties related to the custodial department. Specifically responsible for making sound decisions based upon available information and based upon what is in the best interest of the College; and coordinating and balancing Building Services work activities as necessary for optimal performance to maintain compliance with operating guidelines, state/local building codes, and other government regulations.

This is a day position working, 9am-5pm.

WHAT YOU WILL DO

  • Supports custodial budget to ensure fiscal goals are met including some responsibilities for monitoring waste disposal, recycling, hazardous waste, and the event budget.
  • Helps develop, describe, and define documents, or prepares the job requirements for work to be completed via contracted services. Interacts with contractors, campus customers, and College contracting staff to arrange for, coordinate, schedule, inspect, document, and complete contractor work activities.
  • Initiates, executes, and completes various personnel actions as appropriate for the custodial group staff including annual performance evaluations, corrective discipline cases, personnel actions, skills development, counseling, and training.
  • Helps to implement staffing plans to meet campus yearly schedules, school opening, winter break, spring break, commencement and summer turn over.
  • Conducts, interacts, and coordinates Quality control tours with campus community and the Assistant Director of the Building Services.
  • Keep all supervised areas and immediate work areas clean and orderly. Maintain appearance and overall environment of all facilities by ensuring daily tasks are completed.
  • Monitors work orders in the Colleges CMMS System, TMA, and maintains daily communications with service response desk for prioritization of workload.
  • Ensures that the Building Services staff are entering necessary information into the Work Order System (TMA) and takes corrective action when needed. Understands and utilizes Work Day procedures, and supply ordering system as well as supply accountability.
  • See that all personnel are present and at their assigned areas when they are scheduled to work. If not, the Facility Supervisor is responsible for finding coverage and reporting absence on the Daily Activity Report.
  • Studies employee work schedules and work assignments, makes necessary alterations to improve productivity and benefit the campus.
  • Explores options with vendors and contractor to improve service and quality products at reasonable cost.
  • Provides daily written reports and verbal feedback to Assistant Director of Building Services.
  • Establishes good rapport with campus community including key event coordinators.
  • Acts in a supplementary role to the on-call manager during their shift, responding to emergencies and taking corrective action or calling the on-call manager for added assistance as needed.
  • Assumes additional responsibilities as required.

YOUR TEAM WILL INCLUDE

Supervises assigned custodial staff. Receives general guidance, direction and goals from the Assistant Director of Building Services. The incumbent is expected to work independently consulting with the Assistant Director of Building Services when clarification, interpretation, or other assistance is needed to support and execute Departmental, Facilities Management and Planning, or College procedures, policies, goals and objectives.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Must have a minimum of 4 years of experience as a foreman at all service levels. Must have 5 to 7 years of progressive responsibilities within the facilities maintenance department.

Ability to read, write and understand professional journals, technical procedures, or governmental regulations.

Ability to write reports, business correspondence, and procedure manuals.

Ability to effectively present information, and respond to questions from groups of managers, assigns staff, clients, customers, and the general public.

Fluency in English and Spanish.

Must be able to function well in a team/community environment, displaying common courtesies and politeness; frequently interacts with students, teachers, co-workers, and administrators.

Ability to read and interpret documents such as safety rules, material safety data sheets (SDS), mechanical drawings, operating, maintenance, repair, installation, and procedure instructions or manuals.

Ability to write routine instructions, reports, logs and descriptions of building system problems and needs.

Ability to speak effectively to describe and explain specific problems and operating requirements of mechanical and plumbing systems to students, faculty, staff, and contractors.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

Ability to deal with problems involving several concrete variables in standardized situations.

Strong computer skills including proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)

HOW AND WHERE YOU WILL WORK

Must have had a valid unrestricted U.S. Driver’s License for one year, and maintain throughout employment an insurable (as determined by the College’s insurer’s criteria) or a satisfactory driving record; must successfully complete and pass the College’s vehicle training program within the first 60 days of employment; annual or more frequent review of employee’s driving record based on the College insurer’s criteria; and safety training as required by management.

Ability to work nights and weekends during weather and campus emergencies, which impact project operations and/or facilities.

A. Physical Environment:

  • Regularly exposed to wet and/or humid conditions.
  • Frequently exposed to moving mechanical parts, high precarious places, hazardous chemicals, outside weather conditions and extreme heat.
  • Occasionally exposed to fumes or airborne particles.
  • Usually moderate noise level.
  • Regularly required to work extended hours and participate in an after-hours emergency call-back program.

Physical Demands

  • Operates a motor vehicle on a daily basis.
  • Regularly required to use hands to finger, handle, feel, stoop, kneel, crouch, or crawl.
  • Frequently required to stand, walk, reach with hands and arms, talk or hear, and smell.
  • Occasionally required to sit.
  • Regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds and occasionally lift and/or move up to 100 pounds.
  • Regularly climb and/or balance up to 10 feet and frequently climb and or balance up to 25 feet.
  • Regular use of close vision, color vision, depth perception, and ability to adjust focus.

QUALIFICATIONS ACQUIRED ON THE JOB

  • Knowledge and use of the Facilities Services’ work management, job cost, and other computer software.
  • Knowledge of the policies, procedures, standards, and guidelines governing the day-to-day operations of the Facilities Services Department and the Colleges.
  • Knowledge of the policies, procedures, standards, and guidelines governing purchasing and contract actions at Facilities Services and within the two Colleges.
