Job Summary:
The Scheduler / Appointment Setter is responsible for coordinating and scheduling appointments, meetings, or consultations for clients and internal teams. This role requires excellent communication, time management, and organizational skills to ensure efficient scheduling and a smooth workflow. Key Responsibilities:
- Appointment Scheduling:
- Schedule appointments, meetings, and follow-ups for clients, sales representatives, or service teams.
- Confirm and update appointment details in scheduling software or CRM systems.
- Coordinate calendar availability and resolve scheduling conflicts.
- Customer Interaction:
- Contact potential or existing customers to schedule appointments via phone, email, or live chat.
- Answer inquiries related to appointment scheduling and provide relevant information.
- Send appointment confirmations and reminders to reduce cancellations and no-shows.
- Database & Record Management:
- Maintain accurate and updated records of appointments, cancellations, and rescheduled meetings.
- Ensure customer and client information is correctly logged in the system.
- Follow-Ups & Cancellations:
- Follow up with clients to confirm attendance or reschedule if necessary.
- Process appointment cancellations and update schedules accordingly.
- Team Collaboration:
- Work closely with sales, customer service, and administrative teams to ensure smooth operations.
- Provide reports on scheduled appointments and client interactions.
- Process Improvement:
- Identify opportunities to improve the scheduling process for efficiency and customer satisfaction.
- Stay updated on company policies and scheduling software updates.
Qualifications:
- Education: High school diploma or equivalent (Associate or Bachelor's degree preferred).
- Experience:
- Previous experience as an appointment setter, scheduler, or customer service representative preferred.
- Familiarity with scheduling software, CRM systems, and office tools.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to handle a high volume of scheduling tasks efficiently.
- Proficiency in Microsoft Office, Google Calendar, and CRM software.
