Job Summary

The Order Unit places new orders for one-time and ongoing purchases in all languages for the University of Michigan Library in Ann Arbor. The unit processes renewals of databases requiring fees, resource availability, access models, prices in all languages, claiming one-time, on demand, and prepaid orders, and facilitating funding for package management.
You will contribute to the broader scope of the unit by placing new orders for one-time and continuing resources in all formats from multiple vendors in all Western European and some non-Western European languages for all University of Michigan Library locations. You will also be responsible for renewals, cancellations, claiming, and updating resources in collaboration with supervisors, vendors, publishers, and selectors. You will report to the head of the Order Unit.

Responsibilities*

60% Place orders for all new single purchases and continuing resources.

  • Preorder search collection for possible duplication. Independently search LSP (Library Services PLatform) to eliminate duplicate order requests for all Preorder search collections for possible duplication.   • Resolve problems with resource information and fund allocation with vendors and selectors and ensure timely processing of rush orders and new requests.
  • Inputs orders in LSP designating appropriate funds, selectors, locations, encumbrances, notes to the vendor, and internal library notes.
  • Select vendors based on material specifics, including material origin, type of material, type of order, and the publication status of the material. Places orders using vendor-specific online databases or email updates documentation as procedures change and identify load, creating and editing bibliographic records using LSP, OCLC, or other vendor databases.

20% Review and process database renewals.

  • Organize annual renewals from selectors, publishers, and consortia for databases and continuing electronic resources.
  • Identify and verify orders, confer increases in expenditures with selectors, and submit a renewal for authorization payment.
  • Confirm reimbursement arrangements by exchanging financial data among fund managers, library finance, and staff in other University units.
  • Record cost-sharing transactions in LSP and ERM (electronic resource manager) knowledge database

15% Process cancellations, claims, and update order status changes.

  • Review new one time and continuing resources orders for claiming and possible cancellation.
  • Claim the non-receipt of orders by communicating with vendors.
  • Assess issues pertaining to orders, provide status updates to selectors, provide potential solutions, and communicate with vendors, publishers, and selectors to resolve identified issues.

5% Development and Collaboration within the department and across the library, including work related development opportunities, training, committees, special interest groups, and task forces. Participate in relevant staff development opportunities and share the acquired knowledge with colleagues.

Required Qualifications*

  • Bachelor's degree or equivalent combination of a relevant degree or diploma and experience.
  • You can demonstrate your ability to set priorities, handle multiple complex assignments with deadlines, and display excellent discernment and attention to detail while functioning in a flexible manner.
  • You will know how to work collaboratively, either independently or as part of a team, with culturally diverse faculty, students, and staff to achieve unit goals.
  • You will work accurately and quickly, with the flexibility to work under frequently changing work patterns.
  • Understands and values diversity and the importance of inclusion.

Desired Qualifications*

  • Previous work with the acquisition of physical and virtual resources.  
  • One year or more of experience working with libraries, non-profit organizations, and/or higher education institutions.
  • Experience using online discovery systems, databases, and web resources in a networked environment, preferably with an integrated library system/library management system or an electronic resources management system.
