Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) are seeking a dynamic and impactful Operations Manager, Foundation Relations to manage budgets, projects, and processes in support of cultivating, soliciting, and stewarding foundations and other PPFA donors and prospects. This job reports to the Director in the Foundation Relations department within the Development Division of PPFA. The Foundation Relations department provides strong relationships with foundation partners to meet revenue goals that support the organization's strategic priorities; proposals, reports, budgets, and other donor correspondences (in collaboration with program and finance staff); and tailored proposals and reports where appropriate for Principal and Major Gift donors.
Purpose: The Operations Manager is responsible for providing project management and other support to contribute to the advancement of the National Foundation Relations program.
Delivery:
• Provide project management to finance and program staff - as well as other colleagues across the national office - to help ensure that funders receive accurate and compelling materials and that restricted grants are being spent as required.
• Ensure grant proposal budgets and financial reports - including those generated by finance staff and those that can be created independently whenever possible - are accurate, high-quality, and consistent with donors' requirements and corresponding narrative materials, working closely with grant writers.
• Deliver financial reporting, proposal budgets, and other materials to donors (including foundations and individuals).
• Take the lead on preparing reports for Board and Finance Committees, budget narratives and miscellaneous attachments for grant proposals and reports, and related materials for internal and external audiences.
• Manage PPFA's participation in the Combined Federal Campaign and state workplace giving campaigns and work closely with the team to prepare applications and meet external deadlines.
• Plan the department's annual budget and mid-year forecast, and input and maintain the Foundation Relations program's revenue and expense projections across multiple platforms in partnership with the Foundation Relations team's leadership.
• Review and reconcile monthly income and expense tracking reports.
• Manage various systems for the department's operations, including Salesforce, Asana, donor lists, revenue coding, etc.
• Provide backup administrative support and/or grant writing as needed.
• Keep abreast of a variety of topic areas and PPFA initiatives to be responsive to donor interests and investments.
• Perform other related duties as assigned.
Engagement:
• Facilitate proactive, ongoing communication between development, finance, and program staff to ensure that grant expenditures are on track and in line with funder requirements as work evolves.
• Collaborate with the Foundation Relations Coordinator on grant processing and conduct grant agreement review in partnership with the Office of General Counsel.
• Partner with grant writers to understand the work being funded and ensure alignment between financial and narrative materials, as well as with the Coordinator on operational and administrative functions.
• Serve as a point person with the chief development officer to provide regularly updated revenue and expense reports.
Knowledge, Skills, and Abilities (KSAs):
• Bachelor's degree or equivalent work experience
• 3 or more years of relevant professional experience preferred
• Strong project management and workflow experience, with the ability to keep multiple stakeholders on track to meet deadlines and forestall potential challenges
• Extremely organized and action-oriented
• Strong written and verbal communication skills
• Keen eye for financial analysis
• Ability to both "get in the weeds" of programs and budgets as well as keep focused on the larger picture
• A team player with a sense of humor Demonstrated ability to multitask, learn, and process information quickly, and exercise good judgment when collaborating with staff at all levels of the organization
• Ability to problem-solve and navigate a large, complex, and fast-paced organization
• Solid knowledge of Word and Excel and facility with donor databases
• Ability to work in a multicultural workforce, with sensitivity to and appreciation of cultural differences
• Experience in preparing and tracking budget reports for restricted grants, a plus
• Experience in managing organizational revenue and expense reports preferred
• Experience with Adaptive, Asana, and/or SalesForce platforms a plus
