Description:
We are seeking a highly skilled and dedicated Legal Administrative Assistant to join our dynamic Trusts & Estates Practice Group at Gordon Feinblatt. This is an exciting opportunity for a professional with at least five years of experience to contribute to a thriving legal practice and work alongside experienced attorneys and paralegals.
Key Responsibilities:
* Provide comprehensive administrative support to assigned attorneys and paralegals.
* Prepare, revise, proofread, and organize miscellaneous and varied legal documents, correspondence, exhibits, and files.
* Efficiently schedule and coordinate meetings, and appointments, and manage attorney calendars.
* Attend client meetings on an as needed basis.
* Attend to matters related to the organization and filing of gift tax returns, fiduciary income tax returns, and estate tax returns, including the payment of any taxes due.
* Assist with miscellaneous research and gather information as required.
* Assist with billing and the processing of invoices.
* Handle incoming calls, emails, and mail; direct them to the appropriate personnel; and file the emails and mail appropriately.
* Ensure confidentiality and secure handling of sensitive documents.
* Establish and maintain cordial and cooperative relationships with clients and co-workers.
* Perform general office duties, including time entry, filing, photocopying, and the downloading and scanning of documents.
* Support special projects and take on additional tasks as needed.
* Minimum of 5 years of experience as a Legal Administrative Assistant in a law firm environment.
* Strong understanding of legal terminology, procedures, and practices.
* Proficiency in document management systems, Microsoft Office Suite, and Adobe.
* Proficiency in Trusts & Estates specific software like GEMS a plus.
* Exceptional organizational skills and keen attention to detail.
* Ability to prioritize tasks in a fast-paced and dynamic work environment.
* Strong written and verbal communication skills.
* High level of professionalism, discretion, and confidentiality.
* Ability to work both independently and collaboratively within a team.
