Position Summary
The InCircle Project Coordinator will be responsible for organizing and facilitating projects related to the design, development and improvement of the InCircle Review commercialization and associated business and operational processes. Project-facing activities will include, but are not limited to, adherence to implementation timelines, customer interface solutions, testing of platform design, and scheduling of calls and meetings. This position requires excellent time management and problem-solving skills and the ability to manage multiple project implementations, as well as coordinate work between multiple team members.
Essential Functions and Duties
- Support the InCircle leadership team and perform variety of clerical and administrative responsibilities, including meeting coordination, preparing, and reviewing Monthly Reports and Power Point presentations as directed.
- Maintain calendar for recurring calls and meetings.
- Provide user testing support and feedback during the software development process.
- Coordinate activities of designated projects to ensure project deliverables are accomplished within prescribed time frame and funding parameters.
- Communicate with internal and external customers to define needs or problems and provide InCircle leadership with appropriate recommendations for possible solutions, including gathering potential subject matter experts as solution resources.
- Confer with project staff to create and memorialize work plans, including assigned duties and responsibilities, and scope of authority.
- Works collaboratively with leadership on complex problems where analysis of situations or data requires an in-depth evaluation of various factors.
- Interact with project sponsors, stakeholders and various project members to ensure that specified business needs are met; assist in organizing the post-implementation analysis to ensure that requirements are fulfilled.
- Attend all operational meetings and propose improvements as needed. Responsible for clearly communicating challenges and issues verbally, electronically, or by phone and able to evaluate potential problems and technical issues and develop solutions.
- Assist in special projects as assigned. Projects may include basic research, mailing list preparation and maintenance, and trade show/meeting planning.

Qualifications
Education, Knowledge, Skills, and Experience
Required Education:
- Bachelor’s degree in a related business, supply chain or engineering discipline, or related prior business experience that demonstrates skill sets that support the responsibilities above.
Required Knowledge:
- Familiarity with project management software, such as, Monday, Microsoft Project, etc.
Preferred Knowledge:
- Familiarity with Visio or other process flow programs
Required Experience:
- Minimum of two (2) years’ experience with Project Management.
- Broad understanding of the medical field, and insurance provider processes, and computer algorithms.
- Project management of multiple workstreams using project management tools and methodologies
Preferred Experience:
- Previous medical industry experience
- Six-Sigma project coordination
- Lean project coordination
Required Skills:
- Strong organizational skills
- Must have a detail orientation and the proven ability to prioritize work
- Effective verbal and written communication skills
- Proficient in organizational software, such as, Word, Excel, and Teams
- Ability to work with limited supervision and as part of a team
- Sound decision-making abilities
Preferred Skills:
- Strong communication skills and possess the ability to interact with customers during calls and meetings in a clear and concise manner.
Physical requirements
Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for prolonged periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. The employee occasionally lifts to 20 lbs. and occasionally kneels and bends. Must have the ability to travel occasionally. Working condition include normal office setting.

Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service.
