Yamaha has an excellent opportunity for an Executive Assistant to join our Finance team in Marietta, GA. The Executive Assistant will be responsible for providing personalized administrative support to the President and VPs in a professional and timely manner. They will work one-to-one with the executives on a wide variety of matters. Must be flexible to meet the demands of our growing organization.
What you’ll be doing:
- Key point of contact between the President and internal/external associates and clients.
- Maintain a master corporate calendar of all the President's conferences, meetings, all-hands events, holidays and vacations.
- Remind President of daily schedule while coordinating last minute requests to adjust schedule at President's direction.
- Anticipate and plan for President's needs for travel preferences, meeting locations, meeting times and presence in a meeting (for note taking).
- Arrange and coordinate executive travel, hotel, and dining arrangements.
- Complete Executive's expense reports, process invoices and manage Corporate Purchase Card expenses.
- Handle request, feedback, and queries as quickly as possible.
- Take meeting notes and minutes accurately and distribute as necessary.
- Perform other duties as assigned.
What you’ll need to be successful:
- Bachelor’s degree in relevant field of study required.
- 10+ years as a Senior or Executive Administrative Assistant, 5-7 years of increasing relevant work experience and responsibilities or combination of education and experience/responsibilities.
- CEA or similar certification preferred
- Type 75-85 wpm and shorthand of 80-95 wpm.
- Advance skill with MS office suite (Word, Excel, PowerPoint, Teams).
- Excellent written and verbal communication skills.
- Knowledge of filing and record systems, standard office routine and practices.
- Ability to provide superior customer service.
- Keen memory, accuracy, preciseness, attention to detail and good judgement on job priorities.
- Confidentiality a must have skill.
- Ability to handle complex projects and difficult situations.
- Ability to travel as needed.
