EXECUTIVE ASSISTANT
Richmond, VA
The Virginia Economic Development Partnership (VEDP) is seeking an Executive Assistant to provide complex, strategic executive-level support to the Vice President of Marketing & Communications. This position will support the division Vice President with day-to-day operations, play an important role in financial management, organize office operations, and have the ability to thrive in a fast-paced, high-demand environment.
Responsibilities:
- Assist Vice President with division operations:
- manage Vice President’s calendar
- handle email correspondence
- assist with preparing and maintaining documentation, databases, and lists
- create agendas, take notes, and draft meeting minutes
- manage logistics for meetings
- Assist with management of division budget, including preparation of annual budget and tracking expenses
- Support procurement of complex contracts and process vendor payments
- Assist with travel arrangements for Vice President
- Process expense reports for division staff
- Ensure compliance with agency policies and procedures
- Serve as office manager to the division: ordering office supplies, troubleshooting facilities issues, organizing off-site meetings, etc.
- Coordinate staff onboarding by scheduling training meetings and ensuring staff have appropriate materials and equipment

- Familiarity with budgets and procurement
- Exceptional grammar, punctuation, and proofreading skills
- Ability to maintain strict confidentiality and professionalism
- Knowledge of the public service sector and state and local government preferred
Experience:
- Extensive administrative experience in an executive environment
- Experience using Microsoft Office suite
