Full Job Description
The Assistant Director, Admissions Technology & Reporting acts as the liaison for Graduate Admissions and Babson’s IT and enrollment systems teams. Specifically responsible for serving as the internal point person for all just-in-time reporting, data, and software training and implementation needs; helping Admissions staff members with both the day-to-day and long-term strategic needs of the college in regard to reporting and analytics related to graduate student enrollment; and acting as a critical contributor to the campus-wide initiative to bring the college into a best-in-class enrollment analytics and reporting environment.

WHAT YOU WILL DO

  • Liaison to Babson’s IT team on all admissions-related information technology concerns including data use, data integrity, staff training and development, application testing, and enterprise-work implementation.
  • Develop and manage access to both standard and customized reports on the Graduate student enrollment funnel, incoming class statistics, and admissions counselor touch points (email, events, interviews, etc.).
  • Work alongside colleagues in the division to participate in third-party consulting engagements related to Salesforce reporting and integrations with business partners. Take a lead role in actively communicating department needs, helping to define scope and responsibilities for the partnership, and serving as a trusted liaison for communication regarding data requests within Salesforce.
  • Collaborate with the Graduate admissions team on their data and reporting needs, anticipating requirements based on the flow of the admissions cycle and responding quickly to any custom requests for reports that flow through the admissions office.
  • Provide technical assistance and expertise to colleagues working within the Department of Corporate Engagement in managing the EnrollmentRX instance, processing application materials, standardizing data objects, and responding to reporting needs.
  • Ability to serve as in-house project manager on new IT solutions for office-wide adoption and integration and point person on maintaining current IT solutions. Manage small projects from inception to delivery while communicating work and needs directly to Babson’s IT team.
  • Design and manage automated exports and integrations between campus-wide student information systems. Work with the appropriate liaison within each department to ensure that data is stored and passed between systems efficiently and effectively, monitoring processes for consistency in data quality.
  • Effectively manage the imports of external data from third party sources and vendors, documenting and mapping the data that enters the system and communicating its availability to the department when appropriate.
  • Provide ongoing training to staff around technical and problem-solving needs, query and report writing, and efficient use of existing and emerging technologies.
  • Serve as a liaison and resource to project managers, developers, QA/testing staff, and other project team members throughout each phase of the project to help clarify and/or resolve issues related to requirement specifications.
  • Assist in the design, management, and implementation of a campus-wide initiative to build an institutional data warehouse which has the capability to meet both standard and ad-hoc data reporting requirements for all campus constituencies.
  • Assume additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Bachelor’s Degree or equivalent

Minimum of 4-6 years of experience in enrollment systems management, graduate admission, recruiting, or business analytics.

Ability to succeed in a customer-oriented, technology-intensive work environment.

Must have strong analytical, communication, and teamwork skills.

Ability to translate business needs into application and operational requirements.

Advanced practical experience with management of a Salesforce instance, either directly within an institutional setting or as a partner working closely with institutions of higher education.

Must have the ability to understand the uses and storage of institutional data, how data is entered into and queried from a system and have a strong desire to enhance the utility of data housed within the Salesforce instance for analytic purposes.

The desire to work in partnership with both internal and external colleagues to improve the operational efficiency of Babson College’s analytical and reporting needs.

Organized and detail oriented with the ability to always prioritize and manage multiple responsibilities.

Demonstrated understanding of data structures, extraction, visualization, and data transformation.

Proficiency in Microsoft Office (Intermediate to Advanced Excel, Access, PowerPoint, Word, Outlook).

Experience with Tableau, PowerBI, Visio, or other data visualization platforms.

Ability to envision and propose new methods to perform tasks that support ET&A; work independently to solve problems; look for opportunities to take on responsibility; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.

Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.

HOW AND WHERE YOU WILL WORK

Prefer onsite or hybrid structure but open to remote as well; the on-campus requirement is subject to modification based on organizational need.

Ability to work some evenings and weekends.

ADDITIONAL SKILLS YOU MAY HAVE

  • Master’s degree in business administration, Information Technology, Computer Science, or equivalent strongly preferred.
  • Ability to link Admissions’ business process needs to best-practice technology solutions, and a background in higher education is a plus.
  • Knowledge of Workday, and programming is preferred.
  • Knowledge of enterprise systems such as PowerFAIDs, and Slate are a plus.
