Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.


Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek an experienced and detail-oriented Assistant Controller. This job reports to the Controller in the Finance Department of the Office of the Chief Financial Officer of PPFA. The Finance Department provides confidence to all stakeholders in the fiscal and fiduciary responsibility of Planned Parenthood Federation of America (PPFA), Planned Parenthood Action Fund (PPAF) and its related entities, and Planned Parenthood Global (PP Global) and its related entities (collectively the Organizations) with a commitment to customer service, sound controls, compliance monitoring, and timely, accurate, and complete reporting, analysis and decision support to further the Federation's mission.


Purpose: The Assistant Controller is responsible for enhancing collaboration between the Finance division and other departments and leading the day-to-day accounting functions and activities to ensure timely, accurate and complete financial information for management, divisions and the organization boards. They will also assist and support senior Finance leaders in setting strategic goals and managing delivery on those goals and outcomes. 


Delivery: The Assistant Controller demonstrates strong financial management, accounting knowledge, interpersonal skills and possesses extensive knowledge of accounting principles and 501(c)3 and 501(c)4 financial rules and regulations in order to guide the Accounting team in its day-to-day processing and reporting of transactions. The core deliverables for this role include but are not limited to:


•  Treasury Oversight and Reporting

  Oversee and monitor all PPFA Consolidated cash and investment accounts ensuring timely and accurate accounting for all

 revenue and expense in investment accounts including unrealized gains and losses.

  Review all journal entries relating to investments, split interest agreements, endowment spending and beneficial interest in  perpetual trust transactions in accordance with U. S. GAAP.

•  Payroll Oversight

  Oversee Payroll department's biweekly payroll process and approve payroll, payroll tax, and benefit payments.

•  Accounting Management

   Oversee internal controls compliance, development, implementation, and communication of financial policies and procedures, when needed, to Finance and the Organization.

   Responsible for general ledger accounting, consolidation accounting, and coordination of, preparation, and review of general ledger and account reconciliations for both US-based and PP Global operations.

   Plan, monitor, and manage the monthly, quarterly, and fiscal year-end closing activities, annual audit, and 401(k) audit preparations including preparation of financial statements and notes. Serve as point of contact for all audit related tasks internally and with external auditors.

   Coordinate with accounting staff in the preparation and gathering of reconciliations and schedules for the PPFA annual audit.

   Maintain communication with PP Global field offices during their audits and provide technical and process support throughout.

   Provide support to the Tax & Compliance team in the reconciliation of annual forms 990 with audited financial statements.

•  Continuous Process Improvement

   Work with the team to improve efficiency and effectiveness of accounting processes and systems across all areas of accounting.

   Ensure continuous improvement as it relates to accounting processes and reconciliations with PP Global field offices.

   Ensure development/maintenance of reporting manuals and documentation and/or review of all policies and procedures

 followed relating to accounting functions. 


 * Data Analysis and Reporting 

  Prepare internal and external financial statements for each entity (PPFA, Action Fund, and PP Global) and consolidated statements.

  Complete periodic and ad-hoc financial and accounting research, analysis, and reporting.

  Lead the development, implementation, and management of monthly general ledger closes to support timely, accurate and complete financial reporting information.

  Ensure the integrity and accuracy of all sources of financial information presented to staff and external sources.

* Special projects as needed.

* Externally:

This role works closely with external independent auditors and other auditors, and consultants for specific projects. 


* Internally 

  This role works closely with senior management, development staff and financial operations and management staff throughout the organization.

  Provide leadership to staff including but not limited to course direction, work prioritization and review, professional development, monitoring workloads and resolving issues.

  Provide leadership in strengthening internal communications with staff at all levels throughout the organization.

  Supervise Payroll Manager, Accounting Manager, and Senior Accountants and provide leadership support to the team.

  Work with PP Global and PPFA Accounts Payable team to ensure proper and timely funding of field offices operation expenses, reconciliation of expenses, and advance accounts.

Knowledge, Skills and Abilities (KSAs):

* Bachelor's degree in Accounting or Finance required. 

* Certification as Certified Public Accountant (CPA) required.

* Minimum of 5-10 years of progressively responsible professional accounting and

financial management experience, including supervision of multiple accounting/financial functions and staff. 

• Experience in accounting or finance in the not-for-profit sector preferred.

• Thorough knowledge of current accounting and financial reporting methods and

procedures, including complex financial transactions; expertise and experience with Financial Accounting Standards Board (FASB) and Government Accounting Standards Board (GASB) rules and standards; and external and internal audit practice and standards.

• Possess a strong working knowledge of complex integrated accounting software packages.

• Proven ability to analyze and interpret fiscal and accounting data and to prepare appropriate statements; establish and maintain a general ledger and chart of accounts for a large not-for-profit organization; and develop and maintain accounting and fiscal operations policies and procedures

• Demonstrated experience with business process improvement involving information technology solutions and changes to accounting and fiscal systems and practices; and in staff training and development

• Possessing personal qualities of integrity, credibility, and unwavering commitment to PPFA's mission; a proactive, hands-on strategic thinker who will own, in partnership with the Controller, the responsibility for all aspects of accounting. Resourceful, creative, and possessing the ability to "hit the ground running" and operate with minimal supervision


Travel: 5-10%
