Job Summary

The Department of Computational Medicine and Bioinformatics is seeking an experienced Administrative Specialist Associate to support a faculty member who has a large research portfolio and is the director of the DATA IUCRC Center. Candidates for this position must have the knowledge, skills, abilities, and experience needed to provide calendar coordination, professional correspondence, event planning support, while maintaining professional relationships with a complex research laboratory. Key skills include fluency in the Microsoft Office software applications, the ability solve problems, excellent time management and record keeping skills, consistent and effective follow through on all matters, high quality writing skills, excellent customer service and diplomacy, and the ability to handle sensitive matters in a discreet manner.  The successful candidate must be adaptable, and able to develop relationships with staff, learners, faculty, external collaborators, and leadership to support a diverse and collaborative environment.  There is also an opportunity to work a hybrid schedule with several days on site per week.

Responsibilities*

The Administrative Specialist Associate for the Department of Computational Medicine and Bioinformatics will support the administrative needs of a faculty laboratory. Overall responsibilities include, but are not limited to the following:

  • Prepare correspondence.
  • Coordinate national meetings involving travel and hosting arrangements.
  • Maintain calendars for faculty and key lab personnel.
  • Ensure electronic files are organized.
  • Assist in preparing and submitting reports and publications. 
  • Provide an atmosphere of teamwork and provide backup support for other staff as needed.
  • Other tasks as assigned. 

Required Qualifications*

  • Bachelor?s degree preferred, or equivalent combination of education and experience.
  • Minimum of 5 years of demonstrated administrative support experience.
  • Strong computing skills, including proficiency with MS Suite, to include Word, Excel, PowerPoint, Outlook
  • Forward thinking, excellent interpersonal skills including the ability to interact in a professional and courteous manner. Candidate must show the ability to work effectively and efficiently, both as a member of a team and independently. 
  • Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources with others.
  • Demonstrated ability in exercising professionalism and handling highly confidential and sensitive information with a demonstrated ability to use sound judgment and diplomacy.
  • Demonstrated attention to detail and ability to prioritize for maximum productivity.
  • Must possess strong organizational skills. Ability to work well under pressure, with proven time management skills and the ability to manage multiple priorities in a diverse dynamic environment.
  • Ability to work efficiently and accurately, independently and as a team with a keen attention to detail.
  • Awareness and understanding of multiple facets of diversity:  cultural, ethnic, racial, religious, gender, educational, age, sexual orientation, linguistic, professional, and other differences that make us unique.

Desired Qualifications*

  • Experience with M-Pathways for processing transactions such as travel and hosting expense reports and other non-P.O. vouchers; P-Card reconciliation.
  • Knowledge of University of Michigan Policy and Procedures.

Work Schedule

8 AM - 4:30 PM, Monday through Friday, 40hrs. One day a week from home.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
