The Registrar Data Specialist role is to act as a contributing member of the operations team within the Office of the Registrar, using 3 student information systems ( Colleague, Power Campus and Workday Student) As such, the person fulfilling this role will work in collaboration as well as independently to fulfill the requirements outlined in work tickets, help execute tasks associated with high-level initiatives and strategic projects, and assist with events, both internal as well as external to the department. The person support the Functional Support staff for Workday Student. The person fulfilling this role will ensure all work is completed with high quality, in accordance with any deadlines, and is properly documented. Responsibilities:
● Under the general direction of the Assistant Director of Operations, the Registrar Data Specialist will:
● Reporting & Assessment
○ Assist in creating and distributing executive reports and dashboards as needed for semester start and close activities as well as term and year-end analysis, ensuring data security and compliance of student records.
○ Assist in creating and distributing reports as requested by government officials, ensuring data security and compliance of student records.
○ Assist in stewarding data to stakeholders across campus, providing data as requested, ensuring security and compliance of student records.
● Records Management
○ Assist in performing periodic and on-demand data snapshots and perform archival procedures by term and by student as needed.
○ Assist in performing operations on student data as needed and/or as requested, such as, but not limited to: implementing curricular changes, rectifying duplicate records, executing SAP and batch registration procedures, etc...
○ Assist in maintaining the quality and accuracy of student data, performing regular data validation audits, and cleanup operations as needed.
● Technical Support
○ Assist in creating and maintaining process and system documentation. ○ Work in collaboration with Technical Resources (TR) to ensure all student systems are up and operational in accordance with their Service Level
Agreement (SLA).
○ Assist faculty, staff, and students with technical system troubleshooting as needed.
○ Assist in creating and executing test plan(s) to verify student system upgrades.
● Data Security & Compliance Management
○ Acts as a model FERPA citizen by acting in compliance with rules and regulations and modeling good behavior to fellow colleagues and
stakeholders.
● Position Requirements
● Essential Skills / Knowledge Required
○ 3+ years experience as a support or operations specialist, quality assurance, business or systems analyst, or equivalent
○ Extensive background in software testing and data validation
○ Strong background in business process evaluation and documentation ○ Advanced skills in Microsoft Excel and Access
○ Experience with report writing using business intelligence software (example Entrinsik Informer)
○ Strong analytical and problem-solving skills and keen attention to detail ○ Strong ability to come up to speed quickly and work without heavy supervision ○ Strong ability to learn new software and hardware as needed as well as absorb and retain information quickly
○ Impeccable communication skills, both written and verbal
○ Self-motivated and highly engaged
○ Strong interpersonal skills and team player
○ Strong organizational skills, including the ability to effectively prioritize and escalate as needed, in a timely fashion
○ Familiarity with MAC OS, GoogleSuite, Asana, Slack, and Zapier
● Preferred Skills / Knowledge
○ Higher Education experience preferred
○ Experience with Ellucian Colleague and/or PowerCampus as well as Workday preferred
○ Experience with Entrinsik Informer preferred
○ Ability to develop in JavaScript a plus
● Education/Experience Required
○ Bachelor's degree from a regionally-accredited institution or equivalent work experience
● Work Conditions
○ Work with a high degree of focus for extended periods of time
○ Sit at a workstation for extended periods of time
○ Perform in high-stress situations
○ Work some nights and weekends in support of academic calendar cyclical operations and events
○ On-call hours may be required in the future
