Where will you work: The successful candidate will work out of our FishHawk Office (13830 Circa Crossing Drive | Lithia, Florida 33547). You will also enjoy a hybrid office schedule with dedicated office days for collaboration with your colleagues. Additionally, you will be eligible to work a 9/80 schedule with every other Friday off. We also have an onsite fitness facility.
The Public Affairs Assistant will be responsible for providing administrative support to the Director, Public Affairs and Government Relations and their respective teams. Responsibilities will include handling confidential material and assisting with day-to-day workflow including mail, e-mail, scheduling, travel arrangements, phones, etc. This individual will add value as a member of the business unit through strong administrative, organizational, technical and communication skills.
What you’ll do:
Make travel arrangements (domestic and international) and arrange for visas.
Schedule and coordinate business meetings (internal and off-site).
Prepare audio equipment for meetings.
Prepare and submit expense reports.
Provide administrative support to the Director and teams.
Prepare correspondence, including memos, presentations, emails, and voicemails.
Handle copying, filing, faxing, scanning, and confidential material.
Coordinate schedules (calendars, meetings, conference calls).
Develop, proof, and format correspondence using Microsoft Word, Excel, and PowerPoint.
Process invoices for payment.
Monitor grant and donation information in the grant administration system.
Run reports on giving data to analyze program outcomes and budget information.
Coordinate payment of grants to recipients.
Manage relationships with non-profits and community partners.
Field inquiries from non-profit partners and manage the declines process.
What you’ll need:
High School/GED required.
Administrative experience required.
Corporate Communications experience
