Responsibilities*
40%
- Coordinate provider clinic schedules, patient and procedural scheduling for all patients referred to Otolaryngology Head and Neck Cancer service.
- Schedule surgical procedures for multiple surgeons. Cancel and reschedule OR cases as needed. Confirm/verify OR cases with the appropriate operating rooms on a daily basis and maintain a surgery calendar.
- Communicate with the patient to confirm OR dates and times.
- Relinquish OR time if surgeon does not have cases to fill the rooms. Utilize available OR rooms for other dedicated surgeons with OR cases needing OR availability.
20%
- Provide expert skill at clinic scheduling/grid management and adherence to standard work procedures, including thorough documentation standards.
- Opening and closing schedules, rescheduling patients according to Ambulatory Care Operating Principles.
15%
- Anticipate and problem solve issues with clinic and ancillary testing schedules.
- Manage daily work queues.
- Manage phone calls from internal and external customers related to surgery.
- Staff members in this classification are expected to exercise judgement in identifying problems, seeking and implementing solutions.
10%
- Cross train and provide backup coverage to the Otolaryngology Head and Neck Surgery scheduling team.
Required Qualifications*
- High School Diploma or GED.
- 3 - 4 years of experience.
- Prior experience performing complex scheduling.
- Demonstrated customer service excellence and attention to detail.
- Ability to work well independently as well as collaboratively within a team setting.
- Knowledge of basic medical terminology.
- Familiarity with obtaining medical records or professional medical billing.
- Strong organizational, problem-solving, and prioritization skills.
- Ability to multi-task and work in a high-volume area.
- Demonstrated active listening, verbal, written and information technology communication skills.
- Must be very comfortable working with computers and have a general knowledge of office practices.
- Demonstrated excellent attendance and reliability.
- Requires flexibility in all aspects of work assignments.
Desired Qualifications*
- Experience working within a large, complex, outpatient healthcare setting.
- Knowledge of MiChart (EPIC-Cadence) and ORMIS scheduling; demonstrated proficiency with MiChart, Careweb, Microsoft Outlook, and ability to navigate between systems.
- Previous experience working with clinical staff (nurses, mid-level providers, and physicians).
- Working knowledge of cardiology/vascular/surgical terms, testing and procedures
Work Schedule
Monday-Friday between the hours of 7:30am-5:00pm
